A business email is a professional email address on your own domain — [email protected] instead of [email protected]. It looks more trustworthy to customers, it stays yours if you change providers, and you can create addresses for every person or role: sales@, support@, invoices@.

This guide explains what you need, compares the main ways to get one, and walks through creating a mailbox with cPanel web hosting, connecting it to your phone and Outlook, and making sure your mail does not land in spam.

What you need for a business email

  1. A domain name — yourcompany.com. You register it once and renew it every year. It is separate from the email service, and you can keep it if you move the email elsewhere.
  2. An email service for that domain — something that stores your mail and sends it on your behalf. That can be web hosting with email, or a dedicated email provider.
  3. A few DNS records that tell the internet where your mail lives and that your messages are really from you. Most services set them up for you or show you exactly what to add.

There are free options too: Zoho Mail has a free plan for up to five users, but it is webmail only, without IMAP, so it does not connect to the mail app on your phone or Outlook.

Create a business email address in cPanel

With cPanel hosting, a new address takes a minute:

  1. In cPanel, open Email Accounts and click Create.
  2. Choose the domain (if you have more than one), type the part before the @ — anna, sales, office — and set a strong password.
  3. Set the storage space for the mailbox, or leave the default, and click Create.

Choose the name carefully: an address cannot be renamed later, only deleted and created again. You can read the new mailbox straight away in the browser through webmail (cPanel uses Roundcube) at yourdomain.com/webmail.

A website and your business email on one plan: HytHost web hosting includes email accounts on your domain, from €0.99/mo.

Connect it to your phone or Outlook

Next to each address in cPanel, Connect Devices shows the exact settings for that mailbox, and offers automatic setup for iPhone and Mac Mail. For Outlook, Gmail on Android or any other app, enter them by hand:

SettingValue
UsernameYour full email address
Incoming server (IMAP)The mail server shown in Connect Devices, usually mail.yourdomain.com, port 993, SSL
Outgoing server (SMTP)The same server, port 465, SSL, with authentication on

Use IMAP, not POP3. IMAP keeps your mail on the server, so the phone, the laptop and webmail all show the same inbox; POP3 downloads messages to one device and removes them from the server.

Keep your mail out of spam: SPF, DKIM and DMARC

Gmail, Outlook and others check three DNS records before they trust mail from your domain:

  • SPF lists the servers allowed to send mail for your domain. A domain may have only one SPF record — if you add a second service, merge them into one.
  • DKIM adds a digital signature to every message, so the receiver can tell it was not changed or forged.
  • DMARC tells receivers what to do with mail that fails those checks, and where to send reports.

In cPanel, Email Deliverability shows the status of all three for each domain and can repair SPF and DKIM. DMARC is not created for you: cPanel suggests a record you can install, or you add it yourself. A safe first DMARC record only monitors:

Name: _dmarc
Type: TXT
Value: v=DMARC1; p=none; rua=mailto:[email protected]

Once the reports show that your real mail passes, you can tighten p=none to quarantine and later reject.

Business email with HytHost web hosting

Every HytHost web hosting plan includes email on your own domain:

  • Small includes 10 email accounts; Start and the larger plans include unlimited accounts. Each mailbox holds up to 1 GB.
  • Webmail, plus IMAP and SMTP for your phone and desktop apps.
  • SpamAssassin filters incoming spam, and DKIM and SPF are set up automatically for your domain.
  • Free SSL for the website and the mail server, renewed automatically.

The domain is separate from the plan: register a new one or transfer one at checkout, or keep the domain you already own and point it to us. Building the website on the same plan? See what cPanel is and how to install WordPress.

Frequently asked questions

Partly. You always need a domain, which costs a yearly fee. Some providers, such as Zoho Mail, have a free plan for a few users, but it is webmail only. Email that comes with web hosting costs nothing extra on top of the plan.

No. You need a domain and an email service. Web hosting is a common way to get both a website and email in one plan, but you can use the email alone.

Yes. Add it as an IMAP account with the server, port 993 for incoming and port 465 for outgoing mail, and your full address as the username. cPanel's Connect Devices page shows the exact values.

Usually missing or broken SPF, DKIM or DMARC records. Check Email Deliverability in cPanel, repair what it flags, and add a DMARC record. New domains also need a little time to build a sending reputation.

It depends on the plan. On HytHost web hosting, Small includes 10 email accounts and Start and above include unlimited accounts, all on your own domain.
